Privacy policy
Last updated 14 October 2026
This policy explains what personal information Pineapple Windows collects when you use pineapplewindows.com, ask for a quote or book a survey, and what we do with it. We keep it to what we need to quote for, survey and fit your windows.
Who we are
Pineapple Windows is run by Sam Huxtable, based in south-west London. Sam is the data controller for the information described here. You can contact us about privacy at hello@pineapplewindows.com.
What we collect
- Contact details you give us: name, email address, phone number and postcode.
- About your home and windows: property type, whether you're in a conservation area, the windows you design in our price tool (sizes, styles, colours) and any notes you add.
- Survey bookings: the date and time you choose, your address, and your answers to the booking questions.
- If you become a customer: measurements, photos of your windows taken at the survey, your order, payments and any warranty or aftercare contact.
- Installers who contact us: name, company, contact details, registration (such as FENSA or CERTASS) and capacity.
We don't use advertising or analytics cookies on this website. The price tool remembers the windows you've added in your own browser (local storage) so your list isn't lost if you leave the page; it stays on your device and you can clear it at any time.
How we use it, and why we're allowed to
| What we do | Lawful basis |
|---|---|
| Reply to your enquiry, give you a guide price and arrange your survey | Steps you've asked us to take before entering a contract |
| Survey, quote, order, fit and look after your windows, including warranty | Performance of our contract with you |
| Keep financial and tax records | Legal obligation |
| Follow up on a quote you haven't decided on, and improve our service | Our legitimate interests in running the business, balanced against yours |
| Work with installers who contact us | Our legitimate interests in finding fitting partners |
We will only send you marketing emails if you've agreed to them, and you can opt out at any time.
Who we share it with
We never sell your information. We share it only with people who help us do the job:
- Our manufacturer and installers, so they can make and fit your windows (your address, measurements, specification and contact number).
- Service providers that store or process information for us: Netlify (website hosting and enquiry forms), HubSpot (customer records), Calendly and Google (survey booking, calendar and the fonts this website loads), and our email provider.
- Professional advisers and authorities where we're required to, for example our accountant, insurers, or building-regulations certification bodies for your installation.
Some of these providers are based in, or use servers in, the United States. Where your information is transferred outside the UK, we rely on the providers' UK-approved safeguards, such as the UK International Data Transfer Addendum or the UK–US data bridge.
How long we keep it
- Enquiries that don't go ahead: up to 2 years from our last contact, then deleted.
- Customers: for the length of your window warranty plus 1 year, and financial records for 6 years after the end of the tax year, as the law requires.
- Installer enquiries: up to 2 years unless we start working together.
Your rights
You can ask us to give you a copy of your information, correct it, delete it, restrict or object to how we use it, or send it to someone else. Email hello@pineapplewindows.com and we'll respond within one month. Some rights have limits; for example, we must keep certain records for tax purposes.
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Keeping it safe
We use reputable providers with strong security, keep access to your information to the people who need it, and use secure (HTTPS) connections on this website.
Changes to this policy
We'll update this page if anything changes, and show the date it was last updated at the top.
